How to use Receipt Bank?

Receipt Bank (now called Dext) connects straight into your accounting software, such as Xero or Quickbooks Online. It then allows you to send receipts and invoices in two great ways to your accounting software:

  1. You take a picture of the invoice or receipt on your Receipt Bank / Dext app, or
  2. You forward the invoice / receipt to a dedicated Receipt Bank email address that we’ll set up for you

The invoice is then captured in your Receipt Bank account. We then go into Receipt Bank and categorise the invoice, recording the correct VAT code. We then Publish to your Quickbooks Online account (that we also set up and pay for you)

In Quickbooks Online, we then Match the receipt from Receipt Bank to the amount we see going out of your bank.

That then tells us that it’s been paid, and that we’ve got all the receipts and invoices we need to know that your books are nice and tidy.

If you forget to send invoices to Receipt Bank, we’ll see the amount come out of your bank, but we won’t be able to find a match. We will then be in contact with you to ask you to send that invoice to Receipt Bank.

Login to your Receipt Bank account. From there, you can see all receipts and expenses you’ve uploaded, either through your smartphone App, or sent to your Receipt Bank inbox.

Behind the simplicity of Receipt Bank is a machine learning, optical character recognition (OCR) technology, that reads the words on the invoices and receipts – this saves us time, and saves our clients money.

Do I really need Receipt Bank?

Well, it depends. 

Every business, regardless of whether they’re a limited company or sole trader, VAT registered or not, needs to keep records. 

However, our view is that for non-VAT registered businesses, it’s normally sufficient to keep your documents in a file (but do note that the ink often fades and disappears over the years).

For VAT registered businesses, however, it’s really a good idea to have each and every expense in your accounting system (e.g. Quickbooks Online) linked to the invoice or receipt. 

This way, it makes it very quick and easy to support your expenses, in the event of an HMRC investigation.

You may also know that the accounting software like Quickbooks Online and Xero also have this kind of functionality. At Nimble, we prefer using Receipt Bank to the Quickbooks functionality, as Receipt Bank are really the market leaders in this technology, and is capable of ‘reading’ many more types of documents than other competing software.

How does Nimble Accounting use Receipt Bank for me?

We set up your Receipt Bank / Dext account, and pay for this ourselves, saving you £25+VAT per month.

Then, we ask you to send all your invoices and receipts to Receipt Bank, either by taking a picture on your Receipt Bank mobile app or by sending the invoice by email.

Once you’ve done that, we go into your Receipt Bank account every time we do your bookkeeping, and process these invoices into your Quickbooks Online account, recording the correct category and VAT amount, etc.

In your Quickbooks account, that means that each expense will have an attachment showing the invoice or receipt that supports that transaction – a fantastically clean and well-organised set of books!

 

I already have a Receipt Bank account – do I have to keep paying for this myself?

Even if you’ve already set up your Receipt Bank account, we will take over the payment of that each month, saving you £25+VAT per month.

 

How do I setup Receipt Bank / Dext?

You don’t – we do it for you!

Once you sign up, you’ll have an onboarding call with your dedicated accountant, who will use all the information you discuss to set up your Quickbooks Online and Receipt Bank (if on the standard or premium package) accounts in the correct way for your business.

 

Why doesn’t Nimble use Receipt Bank in it’s Starter or Basic packages?

For the basic package, we use the bank feeds in Quickbooks Online to get the information on your expenses, instead. This way is quicker and more convenient for both you and us.

However, we can’t do this for VAT registered clients, which is why VAT registered clients cannot choose the basic package.

 

Do I need to download the Receipt Bank onto my computer?

No, you can download the app onto your phone.

We’ll then set you up with a Receipt Bank email address.

Between the app and the email address, you’re all sorted!

 

What if I just get the invoice by email – should I take a picture of my screen?

No, just forward to the Receipt Bank email address that we’ve set up for you.
